What Are HMRC’s Payroll Deadlines?

(Or: Why Payroll People Always Look Slightly Stressed)

If you’ve ever wondered why payroll professionals always have a faint twitch, a stash of emergency chocolate, and a deeply emotional relationship with their calendar, let me introduce you to the real culprit:

HMRC’s payroll deadlines.

Yes — the dates that never change, never move, and never care that it’s Christmas, school holidays, or the day your software decided to spontaneously combust.

Let’s break down what HMRC actually expects from you each month (and why missing a deadline is… let’s just say “not recommended”).

📤 1. FPS Deadline — Every Payday (No Exceptions)

The granddaddy of payroll deadlines:
👉 Your Full Payment Submission (FPS) must be sent on or before the day you pay your employees.

Not “later that week.”
Not “when I’ve caught up.”
Not “after lunch because I’m tired.”

If someone gets paid today, HMRC wants to know today.

This rule includes Christmas, bank holidays, unexpected snow days, and times when you’re clinging to sanity by a thread.

Bonus rule:
If you pay staff early (hello, festive season!), you must still report the usual contractual payment date on the FPS.

HMRC loves consistency — and they will absolutely cause chaos if you change pay dates without meaning to.

🧾 2. EPS Deadline — The 19th of the Following Tax Month

Ah, the Employer Payment Summary (EPS).
It doesn’t appear every month, but when it does… it needs attention.

You send an EPS when:
✔ No employees were paid that month
✔ You’re reclaiming statutory payments
✔ You’re reporting CIS deductions
✔ You’re claiming Employment Allowance
✔ You’re adjusting Apprenticeship Levy

Whatever the reason, the deadline is:
👉 By the 19th of the following tax month

For example:
If it relates to April (tax month 1), you must submit it by 19 May.

Miss it, and HMRC assumes you paid everyone as normal — and magically decides you owe them money.

Spoiler: HMRC never assumes in your favour.

💰 3. PAYE & National Insurance Payment Deadline

Even if your FPS is perfect, HMRC still wants their money.

Payment deadlines:
👉 22nd of the month (if paying electronically)
👉 19th of the month (if paying by post — which, let’s be honest, no one does anymore)

These deadlines cover:

  • PAYE tax
  • Employee NI
  • Employer NI
  • Student loans
  • Postgraduate loans
  • CIS deductions
  • Apprenticeship Levy
  • Anything else HMRC dreams up

Late payments may lead to interest charges, penalties, and sternly worded letters that ruin your morning coffee.

For years, benefits in kind have had their own little annual rhythm. The tax year ends. Someone remembers the P11Ds. Payroll asks for the information. HR looks for the paperwork. The accountant might get involved. Someone contacts the medical insurance
